5 tips for email communication

For several years now, email has been used for communication with clients and suppliers, but also for your taxes and other business correspondence. A few years ago, the tax authorities even stopped sending payment slips and started informing you by mail that you need to submit your VAT. Invoices are (almost) no longer sent by post and we can hardly go a day without it.

Besides being so important for your business and the communication with your clients and suppliers, email is often poorly used and hardly ever used as an advertising medium, which is why I have some tips for you.

1. Use a Good Subject Line

We're all busy and receive many emails every day, which is why it's very important to use a good subject line when sending an email. A subject that tells what your email is about in one sentence. Keep it as short as possible, as not every email program supports long lines of text.

2. Use a Proper Salutation

Often you receive emails with salutations like "Hi Adan,", "Hey Adan," or even the very trite "Hello," where you immediately start to wonder, has this person forgotten my name or do they know me so well that we can address each other as true friends?
Always use "Dear Sir/Madam..." in very formal emails to people you don't know, and "Hello..." in business emails when you know the person.

3. Keep the Email Concise and Not Too Long

As mentioned before, everyone is busy with their business. This means that not everyone can or wants to spend hours reading their emails all day. Therefore, I recommend sending short and clear emails where you directly state your question or answer. Definitely don't type out a whole story, as it often gets only partially read. It's also very important if you have multiple questions or answers to list them so that the recipient immediately has an overview of questions and/or answers.

4. Use a Polite/Proper Closing

Use a proper closing for your clients and suppliers, like "Kind regards" or "Best regards".

5. Emails as an Advertising and Communication Medium

Besides sending an email with a simple question or answer, you can also use your email as an advertising medium. You can do this by setting up a signature/template for your email correspondence where you can standardize the following points:

  • A proper closing
  • Your company's logo
  • Your company's address details
  • Chamber of Commerce and VAT number
  • (If applicable) Your company's social media channels, such as Facebook, LinkedIn, and Twitter
